Do you receive hundreds of leads in your mailbox from different systems / platforms on a daily basis? Do you find it time-consuming to extract those leads details from your emails and manually create records in Dynamics 365?

Using Zap Email Parser you can easily automate this process of data extraction from email and creation of Leads in Dynamics 365.

Zap Email Parser is a no-code tool to extract specific data from email body and create Leads or any entity record in Power Apps or Dynamics 365 Sales and Customer Service.

Let’s go through the steps required in setting up Zap Email Parser tool:

Step 1: Configure the Queue in Dynamics 365 where the emails will be received.

Step 2: Install Zap Email Parser in your Dynamics 365 Sales / Power Apps (and activate the 15-day trial)

Step 3: Create template/s to extract data from the email body to create Leads in Dynamics 365

Step 3A: Configure Template Name, Destination Entity, Filters
Select Destination Entity: E.g. Lead
Configure the Filter: Incoming email will be parsed by this template based on the filters defined (e.g. Email address match, email domain match, email subject match, etc)

If you receive email from multiple sources each with a different layout then you could create multiple templates. Zap Email Parser will first pick the correct template based on defined filters and then parse accordingly.

Below screenshot shows multiple templates that have been configured:

Step 3B: Create Parsing rule for each field that needs to be populated
Select Field: E.g. Lead.First Name
Select Data Source: Default Value / Email Body / Email Subject / Email Recipients etc
Define Start Position: Text Match After / Start of Content etc
Start Position Text: e.g. “First Name”
Define End Position: End of Line / End of Content / Text Match Before etc
Apply post processing refinements: e.g. Trim / Remove Line Breaks / Remove Empty Lines etc

Below screenshot shows multiple parsing rules that have been configured:

All Done!.  Now no more wasting time in Data-Entry… let Zap Email Parser App do it for you!
