Zap Calendar Pro App provides a custom Calendar interface within your Dynamics 365 Sales, Customer Service & Power Apps. Any dynamics 365 data having Date-Time can be easily visualized in the Calendar.
Some of the common use-cases of using Calendar interface within Dynamics 365 are:
- Team Activity Calendar: Manage Team Appointments, Phone Calls, Tasks (& other activities)
- Availability Scheduling: Streamline scheduling by allowing resources to manage their availability / absence.
- Share Calendar internally: Better collaborate with others by sharing calendars with selected users/teams.
- Service Activity Calendar: Schedule Service Activities
- Opportunity Calendar: Track Opportunities Nearing Close Date
- Bookings Calendar: Schedule Field-Service Work Orders
- Marketing Campaign Calendar: View your Marketing Campaign Calendar
- Leads Follow-Up Calendar
- Scheduling of Rooms for trainings
As a Sales Manager, when you are viewing your team’s Opportunities Calendar (Opportunities By Estimated Close Date), wouldn’t it be helpful to glance through and easily identify who all those opportunities belong to?
In this blog, we will go through the steps to configure an “Opportunity Calendar” which is color-coded by Owner.
Calendar provides a visual representation of “resources” vs “events”. Here the resource would be “Users” (Sales Users)… and events would be “Opportunities”.
Step 1: Create a Calendar template and set the events as “Opportunities” as shown in screenshot below: (by default the resources are set as “users”… however you can change this if needed)
In Calendar default settings… we will select the resource filter as our “Sales Team”. So opportunities of only users of “Sales Team” will be shown.
Step 2: Open tab “Color-Code By Owner”.
Here check the field “Enable Color-Code By Owner”.
Now select your sales team and then select the color’s for each of your team members.
That’s it. Now open your “Opportunity” Calendar…
Below screenshot shows open “Opportunities” of your sales team by estimated close date – color-coded by Owner:
Here you could further try out plenty of things:
- Use this calendar as a reminder of Opportunities approaching estimated close date.
- Filter these opportunities by Users, priority or any other important parameter.
- View your teams activities too within this calendar… this way you know which follow-up activities have been completed or planned for each of these opportunities.
- Hover over each opportunity to view important details or click to drill-down to the opportunity record.
