Zap Attachment Viewer App offers a consolidated view of all attachments from notes, emails & portal comments in a single place within the Dynamics record / form. The attachments can be displayed from current as well as related records.

In this blog, we will go through the latest feature (released: April 2025) added to our Zap Attachment Viewer App: Ability to view all email attachments together (global view) filtered by date, size, related tables. Besides you could even delete the attachments exclusively retaining the email (which is not possible out-of-box in Dynamics).

Dynamics 365 CE/CRM has mainly 2 types of attachments:
– Notes Attachments
– Email Attachments

Notes attachments:
Notes attachments are stored in the notes table and can be viewed by using Dynamics Advanced Find functionality. Here you could filter and even delete those attachments with ease.

Email Attachments:
Email Attachments are stored within Attachment table.
Whenever emails are sent/received from dynamics or synced to dynamics (using server side sync), then all the attachments in email are also brought in to Dynamics.

In comparison to notes attachments, email Attachments cannot be viewed using Dynamics Advanced find. You will need to open each email record… to view the attachments within it.
Also, please note that Dynamics does not allow deleting of email attachments (you need to delete the entire email)

Now, let’s go through some of the use-cases of this new feature: View / Delete Email Attachments in bulk

Use Case 1: View all email attachments filtered by size, date, owner

You can create a custom view for “Email” table. Using Zap Attachment Viewer: Email Attachments feature… you can view all email attachments filtered by the email view that you created.

Here you can easily filter the email attachments by size, date, etc.

Use Case 2: Delete email attachments – without the need to delete complete email.
Dynamics does not allow deleting of email attachments. You need to delete the complete email in-order to delete attachments.
Zap Attachment Viewer, allows deleting of just the email attachments…retaining the emails.
So, you can easily search of huge email attachments and delete those in bulk… there by optimizing your database space.
